Job Description
Construction Executive Assistant supporting a general contractor with various administrative and project coordination tasks. Requires experience in construction administrative support and proficiency in relevant tools.
Responsibilities:
- Serve as the client’s direct EA; respond quickly via text, phone, and email.
- Manage the client’s calendar, appointments, and scheduling.
- Coordinate daily communication and follow-ups with vendors/subcontractors.
- Monitor incoming bid requests via email and text.
- Schedule on-site estimates and assign the appropriate estimator.
- Create project folders and maintain organized digital file structures.
- Request, receive, and track subcontractor bids.
- Enter bid details and materials/labor costs into spreadsheets.
- Adjust or refine scope-of-work details with guidance from the client.
- Build structured folder systems and detailed project divisions.
- Track job progress, deadlines, follow-ups, and required documentation.
- Create or refine simple documents, visuals, or proposal materials using Canva.
Requirements:
- 3+ years of experience as an Executive Assistant, Construction Admin, or Project Coordinator.
- Experience in construction, remodeling, or vendor coordination strongly preferred.
- Basic understanding of QuickBooks Online and Excel is required.
- Excellent written and spoken English and Spanish required.
- Skilled in Google Workspace (Drive, Sheets, Calendar).
- Proficient in Canva is a plus.
- Able to use AI tools to support workflow improvements (preferred).
