Job Description
Executive Assistant serving as Client’s right hand for inbox and calendar management across multiple businesses. Providing proactive administrative support with strong organizational skills.
Responsibilities:
- Fully manage and triage Client’s email inbox(es)
- Prioritize messages, flag urgent items, draft replies, and organize communications
- Build and maintain labeling + filtering systems for email efficiency
- Ensure Client only sees what’s necessary and that no message is missed
- Proactively manage calendar across multiple businesses
- Book meetings, calls, and reminders
- Manage reschedules, confirmations, and follow-ups
- Ensure Client is always prepared for upcoming meetings
- Conduct basic online research (vendors, partners, companies, tools)
- Prepare summaries, briefs, and recommendations as needed
- Assist with light documentation and organizational admin tasks
- Coordinate simple workflows and establish streamlined processes
Requirements:
- 3+ years experience as an EA, PA, or Admin Assistant
- Exceptional English — written and spoken
- Very strong organization and time management skills
- Experience handling inbox and calendar management for senior-level executives
- Ability to proactively anticipate needs without detailed instructions
- Discretion and confidentiality when handling sensitive information
- Comfortable working across multiple brands/companies under one executive
