Job Description
Customs Specialist managing import/export compliance, brokers, duty drawback, and classifications for Nivoda’s global diamond and gemstone marketplace. Building scalable customs processes across European and US trade lanes.
Responsibilities:
- Prepare shipment documentation and commercial invoices
- Retrieve, verify, and centrally store complete documentation from brokers and carriers
- Apply approved HTS classifications and country-of-origin determinations across shipment processes and systems
- Manage day-to-day customs broker relationships and coordinate clearance
- Review broker performance and ensure practices align with the classification framework
- Monitor duties within landed shipping costs and identify unexpected duty outcomes
- File claims with customs brokers when errors are found
- Resolve routine customs queries during clearance
- Ensure accurate import and export declarations
- Own the duty drawback program, including coordination with Livingstone and preparation and validation of claims
- Monitor and maintain compliance of the US import bond
- Partner with manufacturers, initially in India, on compliant and duty-efficient export documentation and processes
- Identify duty-saving opportunities through relevant free trade agreements
- Build trade compliance processes as the jewellery business expands into new duty-liable markets
- Escalate complex classification and legal interpretation questions to Legal & Compliance
- Establish the operating rhythm for this newly created individual-contributor role
Requirements:
- Proven experience in global trade compliance or customs operations, with a track record on US, UK, EU import/export specifically
- Extensive US import-export experience is required
- Direct experience managing customs broker relationships and shipment documentation at volume
- Experience filing duty drawback or tariff reclaim claims
- Comfortable working as an individual contributor with real autonomy
- Detail-oriented and process-minded
- Based in the EU or UK, with flexibility to work across time zones as the company scales globally
- Strong stakeholder management skills coordinating external brokers, carriers, manufacturers, and internal Legal, Fulfilment, and Ops teams
- Commercial mindset connecting compliance work to cost savings and business impact
- Experience with free trade agreements and preferential duty schemes (nice to have)
- Experience in jewellery, diamonds, gemstones, or other high-value/luxury goods logistics (nice to have)
- Experience with Indian export processes (nice to have)
- Background in a fast-scaling, international e-commerce or marketplace business (nice to have)
