Job Description
Escrow Operations Specialist managing escrow funds through real estate transactions at SERHANT., a media-driven brokerage. Supporting closings, disbursements, reconciliations, and compliance.
Responsibilities:
- Support accurate and timely management of escrow funds throughout the real estate transaction lifecycle
- Work cross-functionally with Compliance, Commissions, Accounting, and Brokerage Operations
- Interact daily with agents, closing entities, and cooperating brokerages
- Review transaction documentation and validate deposit amounts, due dates, receipts, release instructions, and payment documentation
- Maintain accurate escrow information, notes, records, and audit-ready documentation across systems
- Monitor transaction revisions and addendums for escrow-impacting changes
- Reconcile expected escrow funds against deposits received and investigate discrepancies
- Support closing through accurate escrow information, anticipated escrow allocations, CDA preparation, W-9 and payment-instruction verification
- Coordinate with Accounting, Treasury, and internal stakeholders to resolve discrepancies affecting closing or settlement
- Escalate unresolved or disputed escrow matters
- Review canceled transactions and coordinate the return or distribution of escrow funds
- Prepare, submit, verify, and route escrow-related disbursement and payment requests through approved banking platforms
- Maintain segregation of duties among payment preparation, authorization, and release
- Perform or support month-end reconciliation of escrow restricted cash accounts to bank statements
Requirements:
- 1–3 years of experience working real estate transactions, with a strong understanding of the transaction lifecycle
- Minimum of 1 year of experience handling escrow or a related role such as Treasury or Accounts Payable
- Strong organizational skills with exceptional attention to detail and accuracy
- Ability to review transaction documentation and identify information impacting financial processing
- Strong written and verbal communication skills
- Ability to manage multiple time-sensitive transactions and priorities
- Experience with TotalBrokerage, SkySlope, DepositLink, Chase Access, Microsoft Office, and Slack is preferred
- Candidates must live within the United States
- Candidates must be currently authorized to work in the United States without sponsorship now or in the future
