Job Description

Part-time remote assistant supporting a data technology executive’s sales, client relationships, events, and outreach. Managing contacts, calendars, invitations, follow-ups, and Google Sheets.

Responsibilities:

  • Manage, clean, and organize large client and prospect contact lists
  • Research agency, brand, and industry contacts
  • Keep contact information accurate and up to date
  • Create and maintain organized Google Sheets
  • Prepare client invitations and manage distribution lists
  • Coordinate client events and experiences
  • Manage guest lists, RSVPs, reminders, and event follow-up
  • Draft warm, natural emails, invitations, and communications
  • Manage calendars, scheduling, and meeting coordination
  • Track sales follow-ups and outstanding action items
  • Help organize prospecting and client outreach
  • Keep projects moving and ensure nothing falls through the cracks
  • Support creative ideas for client engagement and relationship building
  • Anticipate upcoming needs and proactively help the client stay ahead
  • Help ensure contact lists are clean, calendars organized, invitations accurate, events smooth, and follow-ups completed
  • Support the client in building relationships, creating memorable experiences, growing the business, and making data approachable

Requirements:

  • Excellent written and spoken English
  • Advanced Google Sheets skills
  • Google Workspace proficiency
  • Strong online research skills
  • Calendar and scheduling management
  • Excellent attention to detail
  • Experience working with contact lists and data
  • Strong organizational and project-management skills
  • Exceptionally organized and detail-oriented
  • Proactive and comfortable taking ownership
  • Resourceful and a strong problem solver
  • Upbeat, positive, and curious
  • Confident enough to ask questions and make recommendations
  • Able to juggle multiple priorities while staying calm and organized

  • Executive Assistant or senior sales support experience especially valuable
  • Sales or business development support experience especially valuable
  • Advertising, media, marketing, or agency experience especially valuable
  • Client relationship management experience especially valuable
  • Event planning or coordination experience especially valuable
  • CRM experience especially valuable
  • LinkedIn prospect research especially valuable
  • Canva or presentation experience especially valuable
  • Some overlap with Eastern Time (New York) may be required
  • Minimum availability of 10 hours per week
