Job Description

Global Operations Specialist coordinating utilities, vendors, maintenance, and guest-ready furnished apartments. Supporting Furnished Quarters’ temporary residential experiences through Salesforce and cross-team operations.

Responsibilities:

  • Coordinate utility setup and activation for new accommodations, service changes, disconnections, Wi-Fi upgrades, and internet-related issues
  • Coordinate housekeeping, maintenance, inspections, arrivals, and departures to support accommodation readiness
  • Review inspection reports, initiate corrective actions, and follow up on deficiencies before guest arrival
  • Monitor maintenance and service requests and coordinate with vendors and property management for timely resolution
  • Manage guest parking arrangements, reservations, usage, departure notifications, and billing records
  • Track accommodation readiness, cleanliness, utilities, parking, and operational activities in Salesforce and designated systems
  • Escalate readiness concerns and unresolved issues affecting the guest experience
  • Build and maintain relationships with property management teams, housekeeping providers, utility companies, maintenance vendors, and parking partners
  • Coordinate vendor access, Certificates of Insurance, elevator reservations, and service scheduling
  • Ensure building requirements, policies, and access procedures are followed
  • Collaborate with Accounting on parking billing and discrepancies
  • Work across Guest Services, Operations, Global Leasing, Accounting, and other teams to support seamless operations and handoffs
  • Use Salesforce cases, dashboards, reports, and other tools to organize priorities and workload
  • Monitor assigned tasks and service requests against timelines and company standards
  • Maintain accurate records and documentation of operational activities and resolutions
  • Provide status updates and handoffs related to readiness, inspections, and service recovery
  • Communicate timelines, roadblocks, and deadlines to the Global Solutions Manager
  • Participate in weekend and holiday operational coverage, including monitoring readiness, coordinating corrective actions, escalating urgent issues, and providing handoff documentation

Requirements:

  • High school diploma or equivalent required
  • Bachelor’s degree in Hospitality, Business, Operations, or a related field preferred
  • 3+ years of experience in hospitality, global mobility, serviced accommodations, relocation services, property management, or operations
  • Proficiency with Microsoft 365, including Excel, Word, Outlook, and Teams
  • Experience with Salesforce, Oscar, or similar operational platforms preferred
  • Strong written and verbal communication skills
  • Excellent organizational, prioritization, and time-management abilities
  • Ability to manage multiple priorities and deadlines in a fast-paced environment
  • Strong problem-solving skills and attention to detail
  • Ability to work independently while collaborating effectively across departments and with external partners
  • Ability to learn and adapt to company-specific software and systems
  • Flexibility to participate in weekend and holiday operational coverage as business needs require
  • Reliable internet connection and home workspace that supports focused, professional work during scheduled hours
