Job Description
Head of Operations focusing on systems, automations, and project execution at MM Coaching Limited. Driving efficiency and reducing founder involvement in day-to-day operations.
Responsibilities:
- Own and maintain the full company tech stack - GHL, Close, Zapier, Make, N8N, Hyros, GTM, ClickFunnels, Stripe, and all integrations
- Diagnose and resolve issues fast - and document fixes so they don't repeat
- Respond to critical outages and eliminate redundant tools to reduce costs
- Build AI-driven automations to replace manual tasks across all department
- Reverse-engineer undocumented systems and create SOPs and system map
- Target 30-50% reduction in manual workload
- Build and maintain a complete SOP library for every operational process
- Design systems for long-term maintainability, not short-term fixes
- Own OKRs, quarterly planning, and cross-functional project tracking
- Convert CEO objectives into clear plans with owners and deadlines
- Support Sales, Marketing, and Service Delivery with fast operational help
- Own Trustpilot review processes and the weekly operations meeting
Requirements:
- 5+ years in operations within high-ticket coaching, online education, or info-product businesses
- Proven track record building scalable systems, SOPs, and automations
- Proficient across: GHL, Close, Zapier, Make, N8N, Hyros, GTM, ClickFunnels, Stripe, ActiveCampaign, Notion
- Deeply AI-literate - proven use of Claude, ChatGPT, or similar to reduce manual work at scale
- Systems-minded - you map how tools, workflows, and teams connect
- Independent troubleshooter - root causes, not symptoms
- Proactive - you anticipate problems before they become crises
- Calm under pressure - outages don't rattle you
- AI-native - you default to AI-assisted workflows
- Clear async communicator - strong Slack/Loom habits
