Job Description
Marketing Traffic Manager coordinating B2B agency projects across specialists, budgets, timelines, and quality checks. Marketing Direction serves professional services firms through strategic marketing solutions.
Responsibilities:
- Create project boards in Monday.com under the correct program category
- Create Dropbox folders with standard sub-folder structure
- Gather and organize reference materials in project folders
- Verify team assignments, scope definition, and estimate approvals before kickoff
- Consolidate team member estimates into a single document for project owner review
- Route assignments to specialists based on skillset and capacity
- Manage timelines, dependencies, and deliverable tracking for concurrent client projects
- Conduct first-pass QC on deliverables before project owner review
- Route deliverables through the approval chain
- Monitor hours against approved estimates and enforce budget check-in requirements
- Flag out-of-scope work for independent estimation and approval
- Escalate overdue deliverables
- Monitor cross-account capacity and flag resource constraints
- Resolve operational bottlenecks proactively
- Verify deliverables in production after deployment, including links, forms, and functionality
- Provide weekly account reports covering project status, hours, deadlines, and attention items
- Send direct human-context communications for approvals and status
- Consolidate review items into prioritized messages with links and expected actions
- Report what's done, in progress, blocked, and requiring attention
- Verify final deliverables against original scope
- Confirm files are organized and properly named
- Reconcile hours against approved estimates
- Capture lessons learned
Requirements:
- 3+ years experience in agency operations, project management, or traffic coordination
- Demonstrated multi-project coordination at scale (10+ concurrent projects)
- PM tool proficiency (Monday.com, Asana, or comparable) with the ability to learn new systems quickly
- Experience configuring PM tools beyond basic use — automations, alerts, dashboards, integrations
- Budget tracking experience — monitoring hours against approved estimates and flagging variances before they become problems
- QC/verification capability — reviewing deliverables against requirements for completeness and accuracy
- Experience coordinating across creative, marketing, or professional services teams
- Comfortable working within a contractor team model
- Proactive communication — surface issues early, not after deadlines pass
- Currently using AI tools (Claude, Gemini, ChatGPT, or equivalent) in your workflow
- Available for communication during Eastern business hours
- Resume highlighting relevant marketing traffic management experience
- Desired hourly rate required with application
