Job Description

Remote Office Coordinator supporting patient scheduling, insurance authorizations, EMR records, and administrative operations for a healthcare practice. Atticus Advisory Solutions provides Filipino talent and outsourced staffing services.

Responsibilities:

  • Coordinate patient schedules, confirm appointments, and assist with cancellations and rescheduling requests
  • Verify patient insurance eligibility and benefits and obtain required authorizations for medical, rehabilitation, and mental health services
  • Respond to patient phone calls, emails, and other communications
  • Assist with general patient questions and direct clinical or billing concerns to the appropriate team member
  • Maintain accurate and up-to-date patient information in the Electronic Medical Record (EMR) system
  • Enter data, upload documentation, and ensure required paperwork is complete and sent to clinical staff
  • Perform general virtual office duties, including managing correspondence, organizing electronic files, completing forms, tracking outstanding tasks, and maintaining administrative records
  • Communicate with clinical, billing, and administrative staff to support efficient day-to-day operations and a seamless patient experience
  • Track outstanding authorizations, credentialing items, patient documentation, insurance requests, and other time-sensitive administrative tasks through completion
  • Maintain patient confidentiality and handle protected health information in accordance with HIPAA requirements and organizational policies

Requirements:

  • High school diploma or equivalent required
  • Additional education or certification in healthcare administration, medical office administration, or a related field preferred
  • Previous administrative experience in a medical, rehabilitation, behavioral health, or mental health setting preferred
  • Experience with insurance verification and prior authorizations strongly preferred
  • Familiarity with Electronic Medical Record (EMR/EHR) systems
  • Proficiency with Microsoft Office, including Word, Excel, and Outlook
  • Strong verbal and written communication skills
  • Excellent organizational, time-management, and follow-up skills
  • Strong attention to detail and ability to maintain accurate records
  • Ability to prioritize and manage multiple tasks independently in a remote work environment
  • Knowledge of medical terminology, insurance processes, and healthcare administrative procedures preferred
  • Ability to handle confidential and sensitive patient information professionally
