Job Description
Operations Associate managing recruiting outreach, billing, and administration for Whippy’s AI communication platform. Remote across Latin America, with Buenos Aires hybrid preferred.
Responsibilities:
- Build candidate lists in Sales Navigator and Juicebox for open roles
- Message candidates from the CEO's LinkedIn account using his voice
- Handle candidate replies and route interested candidates to screening calls or Looms
- Maintain Ashby, schedule interviews and reference calls, and follow up with interviewers for feedback
- Send a weekly recruiting funnel covering sent, accepted, replied, screened, and hired candidates
- Monitor Stripe for failed payments and overdue invoices
- Follow up on overdue payments and reconcile checks
- Process upgrades, downgrades, and churn across Stripe, HubSpot, and internal tools
- Keep HubSpot records accurate and aligned with customer contracts, usage, and payments
- Handle Deel onboarding and offboarding, travel and dinner bookings, and vendor-list maintenance
- Grow into partner administration, process documentation, and additional operational projects
Requirements:
- Strong written English; writing is the number one predictor of success
- Fluent written and spoken English
- Able to work US Eastern hours
- Highly organized and reliable in task ownership
- Comfortable working with daily outreach targets and funnel metrics
- Curious, coachable, and low ego
- Already using AI tools and eager to automate work
- Good judgment and ability to identify unassigned tasks
- Ideally 1–3 years of experience as an SDR, recruiting coordinator, or operations associate at a SaaS or technology company selling into the US
- Experience with Stripe, HubSpot, or Ashby is a plus, not a requirement
