Job Description

Operations Coordinator organizing customer scheduling, subcontractors, and processes for a growing home-services company. Supporting handyman repairs, remodeling, and ongoing home maintenance across LATAM.

Responsibilities:

  • Manage incoming customer calls, emails, and correspondence, providing professional and timely responses.
  • Schedule and coordinate jobs, service calls, and customer appointments.
  • Coordinate with subcontractors and service providers to keep jobs organized and on track.
  • Follow up on customer requests, appointments, documentation, and outstanding tasks.
  • Keep customer, job, scheduling, and CRM information accurate and organized.
  • Provide administrative and operational support to management.
  • Assist with basic bookkeeping, invoicing, expense tracking, and related financial tasks.
  • Create and improve processes and systems to make daily operations more organized and efficient.
  • Take initiative, identify problems, ask questions, and develop practical solutions to keep operations moving.

Requirements:

  • Previous experience in Office Management, Operations Coordination, Business Administration, or a similar role.
  • Excellent spoken and written English.
  • Proficient user of ChatGPT and Claude.
  • Strong customer service and professional communication skills.
  • Excellent organizational and time-management abilities.
  • A proactive, self-motivated approach with strong problem-solving and critical-thinking skills.
  • Confident in asking questions rather than making assumptions.
  • Strong execution and results-oriented mindset.
  • Adaptability to learning new technology and software.
  • Experience in construction, contracting, home services, remodeling, or a related industry (highly preferred).
  • Experience coordinating contractors, technicians, or field-service teams (highly preferred).
  • Previous CRM knowledge (highly preferred).
  • Proficiency with scheduling, invoicing, bookkeeping, or admin tasks (highly preferred).
