Job Description
Operations Manager supporting the COO of a U.S. immigration law firm. Improving workflows, automation, reporting, CRM systems, and staff operations across a fully remote Asia-based team.
Responsibilities:
- Support the COO in executing strategic initiatives, overseeing day-to-day operations, and coordinating cross-functional projects
- Build, implement, document, and continuously improve operational workflows, SOPs, systems, and internal processes
- Monitor operational performance, identify bottlenecks, and drive continuous improvement through AI, automation, and technology-driven solutions
- Develop scalable systems and optimize workflows within monday.com and other business platforms
- Support referral partnerships, networking initiatives, marketing efforts, client engagement, firm events, and business development activities
- Maintain and optimize the firm's CRM system for lead management, client communications, reporting, and business growth
- Supervise administrative and support staff, providing coaching, operational guidance, and performance support
- Support recruitment, interviewing, onboarding, and new hire integration
- Drive employee accountability, support performance management, and contribute to professional development initiatives
- Support financial and operational reporting, budgeting initiatives, performance tracking, and documentation
- Manage vendor relationships, software subscriptions, office resources, operational contracts, and expenses
- Report directly to the Chief Operating Officer and work closely with firm leadership
Requirements:
- Bachelor's degree in Business Administration or a related field (required)
- Minimum of 5 years of experience in a managerial role (required)
- Experience working with U.S.-based companies (required)
- Experience with a U.S.-based law firm highly preferred
- Experience managing operational projects and improving business processes
- Experience supervising administrative or operations teams, including recruitment, onboarding, coaching, and performance management
- Strong understanding of operational reporting, business processes, and workflow optimization
- Experience with Salesforce, GoHighLevel, or other CRM platforms (required)
- Strong experience using monday.com to manage projects, workflows, and team accountability (required)
- Proven ability to leverage AI tools for operational efficiency, documentation, reporting, and workflow automation
- Ability to establish clear processes, drive accountability, and deliver projects to completion
- Ability to support an executive in a fast-paced, fully remote environment
- Strong discretion and judgment when handling sensitive or confidential information

- Must work full-time, 8 hours per day excluding a 1-hour break
- Must maintain a minimum of 5 hours of overlap with the firm's operating hours in Pacific Time
