Job Description

Sample Operations Manager overseeing apparel sample lifecycles for Comfrt, a direct-to-consumer comfort and mental wellness brand. Coordinating vendors, photoshoots, launches, systems, reporting, and Sample Coordinator development remotely.

Responsibilities:

  • Own the end-to-end sample lifecycle across all product categories and seasons
  • Build and maintain a centralized sample management system with real-time organizational visibility
  • Manage inbound and outbound creator photography, marketing, creative, executive, and wear-test samples
  • Track samples from vendor shipment through internal distribution and return
  • Develop standardized procedures for sample handling, tracking, storage, and distribution
  • Improve sample workflows to increase efficiency and reduce delays
  • Maintain digital libraries of sample imagery and approvals
  • Manage sample requests across Product Development, Creative, Marketing, Merchandising, Social Media, Photography, Operations, and Executive Leadership
  • Prioritize competing requests and plan sample requirements around seasonal calendars, campaigns, launches, photoshoots, and creator partnerships
  • Coordinate sample readiness with product launch calendars and cross-functional deadlines
  • Partner with Creative and Photography on photoshoots, outfit planning, styling coordination, sample selection, sample preparation, delivery, returns, and inventory reconciliation
  • Serve as primary operational contact for overseas vendors
  • Communicate with vendors through Email, WhatsApp, Slack, WeChat, and other platforms
  • Follow up on sample status, shipments, missing samples, and vendor action items; escalate risks and drive resolutions
  • Directly manage the Sample Coordinator through direction, coaching, training, performance management, one-on-ones, and reviews
  • Establish priorities, allocate workload, and build accountability measures
  • Scale the Sample Operations function and recommend additional resources
  • Coordinate sample activities across departments and lead sample status meetings and weekly stakeholder updates
  • Train future team members on sample management standards and best practices
  • Build dashboards and reporting for sample status, vendor performance, and timeline adherence
  • Analyze bottlenecks and recommend process improvements
  • Maintain inventory, tracking systems, digital filing structures, shipping records, documentation, and approvals
  • Develop KPIs for sample turnaround time, on-time delivery, and operational performance

Requirements:

  • Bachelor's degree in Fashion Merchandising, Product Development, Apparel Production, Business, Supply Chain, or a related field
  • 4+ years of experience in apparel product development, sample management, merchandising operations, or production
  • Experience working with overseas factories and vendors
  • Experience working in a remote or hybrid environment and ability to operate independently
  • Exceptional organizational and time management skills
  • Strong project management skills and ability to manage multiple priorities and deadlines
  • Self-starter requiring minimal supervision
  • Creative problem-solving and proactive, solution-oriented mindset
  • Professional maturity, excellent judgment, accountability, and ownership
  • Outstanding written and verbal communication skills
  • Comfort working in a fast-paced, high-growth environment
  • Ability to build processes, improve systems, and drive operational excellence
  • Advanced Microsoft Office Suite skills, including Excel, Word, PowerPoint, and Outlook
