Job Description

Remote orthodontic front desk specialist managing patient calls, appointments, EHR records, referrals, and insurance workflows. Supporting a U.S.-based orthodontic practice’s billing and patient intake.

Responsibilities:

  • Answer incoming calls during practice operating hours and ensure new-patient calls do not go to voicemail
  • Prioritize new-patient inquiries and convert inquiries into booked appointments
  • Provide phone coverage while the doctor and in-office team are seeing patients
  • Communicate professionally and compassionately with patients, parents, referring dentists, and other contacts
  • Schedule and book patient appointments
  • Manage and maintain the appointment calendar within the EHR
  • Enter and update patient information accurately
  • Generate new-patient letters, referral letters, and related correspondence through the EHR
  • Draft and send professional emails to dentists regarding referrals and practice needs
  • Follow up on referral-related information and maintain communication with referring offices
  • Collect and document insurance information during initial patient contact
  • Enter insurance information into the practice software
  • Apply knowledge of orthodontic benefits and coverage
  • Submit insurance claims according to established billing procedures
  • Follow practice workflows and billing processes accurately

Requirements:

  • Hands-on OrthoEdge experience required
  • Previous experience working as a medical, dental, or orthodontic VA/receptionist is strongly preferred
  • Experience handling incoming patient calls and scheduling appointments
  • Working knowledge of orthodontic insurance and billing processes
  • Strong written and verbal English communication skills
  • Excellent customer service and phone etiquette
  • Strong attention to detail and data-entry accuracy
  • Comfortable working independently in a remote environment
  • Minimum 50 Mbps upload and download internet speed
  • Verified backup internet connection required; mobile phone hotspots are not acceptable
  • Backup power source required, such as a UPS or generator
  • Quiet, professional workspace suitable for voice work
  • Noise-canceling headset required
  • Reliable computer capable of running software systems and softphone simultaneously
  • Windows 11 or the most recent Apple OS/update required
  • Ability to multitask and prioritize new-patient calls and appointment opportunities
