Job Description
Virtual Assistant helping a therapy practice with operations and systems management. Collaborating with the team to build scalable processes and improve business practices.
Responsibilities:
- Build and document SOPs for key business processes — think sales workflows, onboarding processes, and client communication systems
- Create a scalable, repeatable onboarding system for therapists with resources, templates, expectations, and educational content
- Set up and manage a referral program for therapists, including process and incentive structure
- Schedule monthly therapist meetings and establish seamless communication systems
- Manage Dr. Angelica's calendar using Google Calendar, including troubleshooting sync issues
- Communicate with clients via email for scheduling and availability
- Build a calendar booking system for Discovery Calls
- Post job ads to recruit therapists and manage communication in a WhatsApp group
- Review job applications and recommend interview questions
- Create SOPs for client onboarding and manage project management systems
Requirements:
- Solid project management experience
- Effective and proactive communicator
- Highly organized and can manage multiple moving pieces
- Compassionate understanding of the impact on clients, families, and therapists
- Tech-savvy, comfortable learning new tools (Jane EMR, Google Calendar, AI tools, automation platforms)
- Willingness to learn and grow with the team
- Experience with social media management, basic graphic design, and email marketing
- Experience in a healthcare, therapy, or wellness setting is a plus
