Job Description
Procurement Coordinator supporting vendor selection, risk assessment, contracts, invoices, and VP operations. Helping Step Up For Students expand scholarship access for children.
Responsibilities:
- Support vendor selection and onboarding through research, summaries, and meeting scheduling
- Assist with drafting, distributing, and collecting vendor forms and documentation
- Coordinate requests for information, proposals, and quotes (RFIs, RFPs, and RFQs)
- Maintain the contract repository and update contract terms and records
- Track vendor performance data and schedule vendor business reviews
- Gather vendor-related needs from departments and maintain communication logs
- Support invoice processing and monitor payment schedules with Finance
- Organize vendor meetings, prepare agendas, take notes, and follow up on action items
- Monitor contract expiration dates and prepare renewal, amendment, or termination documentation
- Perform administrative tasks related to vendor and contract management
- Provide administrative support to the VP, including meeting agendas, travel booking, and operational tasks
- Manage vendor risk assessments throughout the lifecycle
- Perform other duties as assigned
Requirements:
- Demonstrated success and a proven track record in professional/life experience in specific job functions, projects, or industries
- Military service can substitute for professional experience and/or formal education requirements
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)
- Strong organizational skills and attention to detail
- Effective verbal and written communication skills
- Ability to manage multiple tasks and deadlines
- Analytical mindset with curiosity about process improvement
- Professional demeanor with strong interpersonal skills
- Ability to maintain confidentiality and handle sensitive documents
- Must be able to lift up to fifteen (15) pounds)
- Valid driver's license and proof of insurance may be required, depending on role responsibilities
