Job Description

Exceptional Programs Registrar maintaining student records, enrollment, and Arizona reporting for ASU Prep’s digital education programs. Supporting SPED and 504 compliance, audits, and attendance data.

Responsibilities:

  • Maintain student registration, reporting, and reconciliation records in the student information system
  • Collaborate with attendance staff on state reporting through daily reports and weekly and monthly trends
  • Process student enrollments, transfers, and withdrawals
  • Support attendance functions and reporting for students
  • Manage student information as required by the Arizona Department of Education and for national and international private school students
  • Adhere to policies and procedures for managing student information
  • Support Arizona state reporting, including resolving reporting errors and conducting data analysis
  • Maintain the student information system, create student profiles, and prepare monthly reports
  • Process enrollment, transfers, and withdrawals for SPED and 504 students
  • Maintain Exceptional Programs folders and ensure audit requirements are met
  • Assist with student-information policies and procedures
  • Collaborate with the Network Office on compliance structures and annual financial audits
  • Request SPED and 504 records for incoming and exiting students
  • Comply with local, state, federal, and Office of Civil Rights policies regarding student enrollment
  • Collect information from students and parents while maintaining confidentiality
  • Participate in online and in-person events and activities
  • Perform additional duties as assigned

Requirements:

  • High School Diploma or GED equivalency
  • Associate’s Degree preferred
  • 1-3 years of experience working with student information system data, reconciling and troubleshooting, and maintaining student records
  • Experience with Infinite Campus and IEPPro is a plus
  • Ability to speak, read, and write in Spanish, preferred but not required
  • Active AZ Department of Public Safety (DPS) IVP Fingerprint Clearance Card
  • Demonstrates excellent reading, writing, computation, technology, and communication skills
  • Ability to follow oral and written instructions with little or no supervision
  • Ability to plan, organize, and maintain a filing system
  • Ability to plan, organize, schedule, carry out, and supervise projects
  • Ability to maintain confidentiality of sensitive information
  • Ability to use a personal computer and software to develop spreadsheets and databases, and do word processing
  • Ability to meet established deadlines
  • Ability to articulate, represent professional demeanor, and take initiative
  • Ability to occasionally push or lift up to 20 lbs.
