Job Description

Senior Operations Manager overseeing compliance and operational support for property management operations. Managing legal, eviction processes, and administrative support at Darwin Homes.

Responsibilities:

  • Manage eviction-related processes and ensure alignment between Owner and Darwin systems
  • Maintain and provide routine updates to the shared Evictions Tracker
  • Partner with the internal Evictions Team
  • Meet with external attorneys at least monthly to ensure compliance with local laws and new statutes
  • Support ISP opt-out processes related to evictions
  • Train and audit local PM teams to establish rules of engagement on daily compliance issues
  • Establish a compliance and evictions SOP and train PM staff on SOP as well as fair housing regulations
  • Support regulatory compliance initiatives
  • Conduct ad-hoc and annual reviews of state-level landlord-tenant laws
  • Facilitate updates to lease addenda and operational workflows based on regulatory changes
  • Oversee real estate license tracking and management
  • Engage in further advancing licensing for our leadership team
  • Research, evaluate and establish a professional development track for PM staff in the Real Estate field
  • Coordinate legal case support between stakeholders
  • Collect, organize, and disseminate case-related information between Darwin and the Owner
  • Evaluate risk factors and make recommendations to both Darwin and Client to avoid litigation and possible liability
  • Maintain visibility into ongoing legal matters
  • Provide routine updates to the Monday board
  • Facilitate follow-ups across Darwin, Owner, and Legal teams
  • Foster and maintain relationships with third-party legal advisors
  • Provide high-level administrative support to leadership
  • Coordinate internal events and logistics
  • Support financial operations
  • Regularly assess and compare third-party collection agencies by conducting pilot programs to evaluate performance across collection volume, recovery timing, and level of operational support
  • Collaborate with third-party partners, internal stakeholders, and clients to deliver comprehensive, data-driven insights that inform vendor selection and ensure effective use of spend
  • Maintain data accuracy across platforms
  • Perform unit-level updates to reconcile data between Owner and Darwin systems
  • Support lease and pricing configuration updates
  • Manage lease fee setting updates (as permitted by system access/role)

Requirements:

  • 5+ years of experience in business operations, property management, legal operations, or a related field, with increasing scope and responsibility
  • Demonstrated experience managing cross-functional initiatives and partnering with internal and external stakeholders (e.g., legal teams, vendors, ownership groups)
  • Strong understanding of compliance frameworks, regulatory requirements, and/or landlord-tenant laws, with the ability to translate requirements into operational processes
  • Proven ability to manage sensitive and complex workflows, including evictions, legal cases, or compliance-related operations
  • Experience working with data systems, CRMs, or property management platforms, with a strong emphasis on data accuracy and process integrity
  • Advanced organizational and project management skills, with the ability to prioritize competing initiatives and drive execution in a fast-paced environment
  • Strong analytical skills, including experience reviewing reports, identifying exceptions, and implementing process improvements
  • Excellent written and verbal communication skills, with the ability to present updates and coordinate across executive-level stakeholders
  • High level of discretion and professionalism when handling confidential or legal information
  • Experience supporting senior leadership (e.g., VP/EVP level) and managing administrative or operational priorities on their behalf
  • Proficiency with communication and workflow tools (e.g., Zendesk, Monday.com, Slack, Microsoft Office/Google Workspace)
  • Real estate license (or ability to obtain) preferred.
