Job Description

Vehicle Registration & Administration Clerk processing registrations, CTP, and compliance documentation for an Australian dealership. Supporting sales, vehicle handovers, records, and deadlines remotely from the Philippines.

Responsibilities:

  • Process all vehicle registrations and CTP for new, used, and demo vehicles
  • Prepare and lodge Notice of Disposals, plate changes, and transfer documentation
  • Ensure compliance with RMS requirements and company policies
  • Create daily Repair Orders and Purchase Orders
  • Maintain accurate internal logs and registration records
  • Coordinate with Pre-Delivery and Sales teams to support smooth vehicle handovers
  • Order and manage number plates, including security and stock control
  • Maintain Police Book records and documentation accuracy
  • Assist with deal processing and month-end deadlines
  • File and maintain documentation according to RMS and company standards
  • Provide backup support to Reception when required
  • Report to the Group Administration Manager at a busy dealership in Blacktown

Requirements:

  • Strong knowledge of RMS processes and compliance requirements
  • Exceptional attention to detail and accuracy
  • Ability to manage high volumes and work to strict deadlines
  • Strong organisational and time management skills
  • Professional written and verbal communication skills
  • Intermediate computer skills
  • Previous experience in automotive registration administration desirable
  • At least 2 years of experience in an administrative role
  • Experience with international clients or teams, particularly Australia, the United States, or New Zealand
  • Proficiency with software or tools such as Microsoft Office Suite, Google Workspace, or project management tools
  • Ability to work 7AM to 4PM MNL time, Mondays to Fridays
  • Self-provided equipment: computer with 8GB RAM, Intel Core i5 or AMD Ryzen 5 12th generation or newer, 512GB HDD/SSD, and Windows 11 Home or Pro
  • Power backup, secondary/external monitor, noise-cancelling headset, webcam, and 40–50 Mbps minimum download and upload internet speed
  • BIR registration and contributions required for contractors
  • NBI or Police Clearance
  • Government-issued ID
  • Ability to comply with Wingman IT and security requirements and system monitoring
  • Ability to provide an English Proficiency Test result and personality test result
  • Ability to provide references and complete pre-employment checks
  • Independent contractor agreement under Singapore Law with Philippines Resources Pte. Ltd.
