Job Description
Werkstudentische Operations-Unterstützung bei gartenAI, einem Unternehmen für KI-Lösungen, Software Engineering und Automatisierung. Aufgaben-Tracking, Kommunikation, Reisen, Finance Operations und AI-Workflows.
Responsibilities:
- Track tasks and follow-ups from meetings, emails, and discussions in Notion
- Keep owners, deadlines, statuses, and next steps up to date
- Independently follow up on open items and escalate risks at an early stage
- Handle operational meeting follow-up and turn action items into actionable, reliable tasks
- Triage business communications and identify required action
- Carefully prepare external communications and review them before sending
- Organize travel and appointments based on defined criteria
- Manage travel expenses, receipts, and outstanding follow-up activities
- Support preliminary bookkeeping and administrative processes related to Lexware Office, Fileee, and travel expenses
- Identify discrepancies; leave approvals and sensitive financial decisions with the owner
- Identify recurring processes that could be automated, simplified, or made more robust
- Take on improvement proposals, AI workflows, research tasks, internal tools, and small-scale automations
Requirements:
- Currently enrolled in a degree program, ideally in Computer Science, Data Science, Software Engineering, Business Informatics, or a comparable field
- Excellent and highly professional written and spoken German
- Ability to understand English documentation and technical content
- Confident using digital tools and quick to learn new systems
- Comfortable using Notion, Google Workspace, and AI tools
- Interest in process improvement and AI-assisted ways of working
- Ability to organize working hours independently alongside your studies
- Transparent communication regarding availability and capacity
- Careful review of results and early clarification of any uncertainties
- Experience with automation, programming, or data is a plus but not required
