Job Description

Part-time remote conveyancing assistant supporting Australian legal settlements and document workflows. Preparing correspondence, execution documents, and settlement files for Wingman Group’s Australian partners.

Responsibilities:

  • Support file handlers and conveyancers with conveyancing administration
  • Draft, proofread, and format legal letters, client and agent correspondence, and settlement documents using Microsoft Word precedents and templates
  • Prepare and collate documents for execution and lodgement
  • Ensure accuracy and completeness of documents for signing and settlement
  • Follow structured file-management processes, checklists, and quality-control steps
  • Liaise with clients, real estate agents, lenders, and internal file handlers during AEST hours
  • Maintain confidentiality of client, financial, and identity data
  • Learn and use TriConvey and support PEXA/electronic settlement workflows where applicable
  • Flag issues promptly and escalate according to procedure

Requirements:

  • Strong written English
  • Confidence with Microsoft Word templates
  • Prior Australian legal/document experience
  • Must work AEST business hours to overlap with file handlers
  • Australian conveyancing experience
  • Familiarity with Australian property and conveyancing terminology, including Section 32 vendor statements, Section 27, discharge of mortgage, transfer of land, settlement adjustments, and GST treatment
  • Exposure to PEXA or electronic settlement workflows
  • Prior experience drafting agent and client correspondence
  • Self-provided equipment
  • Computer with at least 8GB RAM
  • Intel Core i5 or AMD Ryzen 5 processor, 12th generation or newer
  • 512GB HDD/SSD
  • Windows 11 Home or Pro
  • Power backup such as a powestation, powerbank, or UPS
  • Secondary/external monitor
  • Noise-cancelling headset and webcam
  • Internet speed of at least 40–50 Mbps for both download and upload
  • BIR registration/contributions as required by the government
  • NBI or Police Clearance
  • Government-issued ID
  • English proficiency test
  • Personality test
  • At least 2 years of experience in an administrative role
  • Ability to communicate with clients, vendors, and team members via call, text, email, or other channels
  • Willingness to comply with Wingman’s IT, security, system-monitoring, and productivity requirements
  • Ability to work 7AM–4PM MNL time, Monday to Friday
  • Independent contractor agreement under Singapore law and Philippines Resources Pte. Ltd.
  • Willingness to provide references and authorize background/qualification checks
