Job Description

Document Specialist producing legal documents, proofreading patent applications, and formatting USPTO files for Opensity Solutions. Supporting client operations remotely during fixed evening shifts with Microsoft Office, PDF, and transcription tools.

Responsibilities:

  • Create, revise, reformat, and convert documents using Microsoft Office applications, PDF editing tools, and transcription software
  • Prepare and edit complex documents, spreadsheets, and charts
  • Provide coordination and administrative support for special projects
  • Handle time-sensitive and confidential materials efficiently
  • Perform document diagnostic activities to troubleshoot document inconsistencies
  • Create and revise work products using keyboard entry, scanning, or electronic conversion methods
  • Transcribe audio and digital dictation, including interview and investigation transcripts, as required
  • Spell-check, proofread, and cross-check documents for accuracy and completeness
  • Maintain current knowledge of specialized applications and upgrades for maximum efficiency and productivity
  • Provide feedback and insight into team members’ performance when requested
  • Promote and encourage teamwork, confidence, and positive attitudes
  • Provide directions, instructions, and guidance to the team
  • Assist with reviewing reworks or poor job outputs from team members
  • Proofread patent applications, claims, and other patent work
  • Format USPTO files to USPTO standards
  • Engage with client personnel to provide task updates and encourage collaboration with end users
  • Manage assigned tasks in the client’s day-to-day operations under general direction from the coordination team

Requirements:

  • High school diploma or GED
  • 2–5 years working in document outsourcing or the legal industry preferred
  • Ability to learn the listed responsibilities through in-person training, remote training, and self-guided learning
  • Strong initiative and ability to work independently with minimal direct supervision
  • Working knowledge of Microsoft Outlook, Word, Excel, and PowerPoint
  • Experience with Adobe Acrobat or Kofax for PDF manipulation is a plus
  • Excellent spelling, grammar, punctuation, sentence structure, and proofreading skills
  • Ability to organize and prioritize multiple assignments
  • Ability to work independently and efficiently, creating a seamless transition of workload without team overlap
  • Ability to excel under pressure within established timeframes and provide quality work products
  • Strong communication, interpersonal, teamwork, and customer service skills
  • Experience working in a secluded remote environment that allows focus on workload and product
  • Ability to work Monday–Friday, 2:00–10:30 p.m. CST / 3:00–11:30 p.m. EST, with no rotating weekends
