Job Description
Facilities Coordinator supporting maintenance, vendors, safety, and equipment for CARD, an autism treatment organization. Remote role serving centers across specified U.S. locations.
Responsibilities:
- Support the day-to-day maintenance of centers to ensure a safe and efficient working environment
- Source and coordinate vendors for services
- Facilitate daily work/service orders
- Ensure compliance with established health, safety, and security regulations
- Represent CARD professionally and ethically to internal and external stakeholders
- Adhere to confidentiality and HIPAA guidelines
- Assist in upkeep, maintenance, and repair of centers and associated equipment
- Coordinate repairs, maintenance tasks, and services with team members and vendors
- Maintain preventative maintenance schedules and tracking
- Ensure facilities are clean, functional, well-maintained, and meet workplace standards
- Ensure proper functioning of camera systems, HVAC, electricity, plumbing, and other building systems
- Manage invoices and documentation for vendor payment with Accounts Payable
- Ensure accurate accounting of expenses for Finance
- Respond to center-related issues and work toward timely resolution with onsite staff
- Perform routine audits of center equipment, maintenance, and safety hazards
- Coordinate repairs and adjustments for safety and security equipment
- Arrange purchase, shipment, and installation of equipment for new centers
- Assist the Safety Committee by gathering security footage for investigations and audits
- Maintain facility-related records and materials
- Handle projects and tasks assigned by the department
Requirements:
- High school diploma or equivalent required
- 1 year prior experience in facilities, maintenance, or related field preferred
- Strong organizational and problem-solving skills
- Ability to work independently and as part of a team
- Good communication and interpersonal skills
- Proficiency in Microsoft Office
- Ability to manage multiple priorities and deadlines in a fast-paced environment
- Detail-oriented with a strong operational focus
- Ability to work well under pressure and adapt to changing environments
- Ability to learn multiple technology platforms quickly
- English proficiency, both verbal and written, is required
- Ability to sit for prolonged periods of time
- Ability to work on a computer for prolonged periods, as tasks require
- Ability to carry up to 25 lbs
- Ability to use and speak on the phone and via teleconference, as needed throughout the day
