Job Description
Senior eBilling Analyst managing complex electronic billing, accruals, budgets, and invoice resubmissions for RRD, a global marketing, packaging, print, and supply chain solutions provider.
Responsibilities:
- Manage all aspects of client billing, including bill preparation, daily process administration, research, analysis, troubleshooting, problem resolution, reporting, and special assignments
- Create client budget projections and assist with collections
- Interpret and communicate client billing guidelines
- Work with the client’s E-billing Manager on ad hoc e-bill management and client requests
- Submit electronic invoices and accruals to clients monthly
- Oversee client transitions to e-billing and provide follow-up support to attorneys and clients
- Handle complex, high-volume e-submission assignments for key corporate clients
- Ensure compliance with client guidelines, internal protocol, and firm guidelines
- Serve as subject matter expert and liaison among billing attorneys, secretarial staff, and client e-billing staff
- Coordinate invoice resubmissions and corrective actions
- Maintain client data in billing systems and external client web applications
- Execute accruals, budgets, information requests, status reports, and matter profiles
- Support e-billing systems by managing user accounts, passwords, security levels, budgets, and matter profiles
- Analyze complex client accounts involving collections, rates, and reduced or rejected invoices
- Keep client partners and supervisors/managers informed of issue statuses and action plans
- Train new Billing Analysts/Associates and guide junior team members
- Support billing staff as a value-added subject matter expert
- Collaborate with financial colleagues to resolve issues and optimize departmental responsibilities
- Communicate issues and resolutions professionally and promptly
- Serve as backup to team members
- Recommend and document process and procedural improvements
- Update documentation for billing arrangements and processes
- Interact professionally with clients in person, by phone, and electronically
- Complete special projects as assigned
- Perform daily departmental duties
- Adhere to company and client site policies
Requirements:
- Associate’s or bachelor’s degree preferred with concentration in Business, Accounting, or Finance
- Commensurate experience may be considered in lieu of education, based upon candidate’s overall employment history
- Minimum four years of e-billing experience in a law firm or professional organization required; five years or more preferred
- Hands-on familiarity with multiple e-billing vendor systems and outside counsel guidelines
- Strong analytical and critical thinking skills
- Strong interpersonal skills and ability to work in challenging and dynamic environments
- Self-directed with a strong work ethic; capable of working independently with limited supervision
- Ability to work outside established business hours and adjust schedule to meet deadlines
- Ability to multitask and meet stringent deadlines in a fast-paced work environment
- Excellent organizational and time-management skills
- Demonstrated proficiency with Microsoft Office and MS Excel, including pivot tables, graphs, formulas, and macros
- Experience working with client Document Management Systems (DMS)
- Ability to create spreadsheets, manipulate data, and generate reports
- Excellent verbal and written communication skills, including presenting results to senior management
- Ability to work effectively in cross-functional environments and interface with senior management, vendors, and client staff
- Ability to handle sensitive matters confidentially
- Experience with Aderant or Elite/Elite 3E and/or business intelligence products strongly preferred
- Ability to work overtime as needed during peak or critical periods
- Ability to maintain the highest level of confidentiality
- Successful completion of pre-employment background and drug screens
