Job Description
Admissions Coordinator guiding prospective clients into Guidelight Health’s behavioral healthcare PHP and IOP programs. Managing screenings, insurance verification, referrals, conversion, documentation, and clinical handoffs.
Responsibilities:
- Serve as a primary contact for prospective clients and referring providers through phone and web-based channels
- Engage clients experiencing anxiety, ambivalence, emotional dysregulation, or behavioral health crises
- Build rapport while maintaining structure and control of conversations
- Guide clients through demographics, insurance, screening, program education, scheduling, and next steps
- Conduct structured initial screenings and recognize when to escalate risk, clinical fit, or other concerns
- Educate clients and referral partners about PHP and IOP programs
- Address barriers and objections, including scheduling, technology, and insurance concerns
- Use active listening, motivational interviewing, and consultative communication to support movement toward treatment
- Manage client commitment, funnel movement, conversion, and drop-off reduction
- Manage inbound and outbound referrals and assigned cases through the admissions pipeline
- Complete follow-ups and close loops with clients, referral partners, clinicians, and internal teams
- Verify insurance eligibility and benefits; explain coverage, costs, and payment expectations
- Capture and document information in CRM and EMR systems
- Coordinate prior medical records and referral documentation
- Complete clinical and operational handoffs
- Manage high call volumes, multiple active cases, SLAs, and documentation requirements
- Navigate CRM, EMR, scheduling, insurance, and other technology platforms
- Participate in call reviews, quality audits, calibration, coaching, and performance improvement activities
- Meet Central Intake metrics for responsiveness, conversion, throughput, documentation quality, and follow-up completion
Requirements:
- Bachelor’s degree in health, human services, psychology, or a related field (required)
- Must live in PST
- 2–3+ years of experience in a high-volume, front-line healthcare, behavioral health, substance use, patient access, intake, admissions, triage, or healthcare contact-center environment
- Working knowledge of insurance coverage, including verifying eligibility and benefits, explaining coverage and out-of-pocket costs, and identifying insurance or financial barriers to care
- Experience interacting with individuals in emotionally sensitive, complex, urgent, or high-pressure situations
- Strong communication and interpersonal skills
- Strong judgment and clinical curiosity, with ability to recognize when escalation is warranted while maintaining the boundary between screening and clinical assessment
- Ability to manage multiple active cases, competing priorities, follow-up requirements, and time-sensitive workflows
- Strong organizational skills and exceptional attention to detail
- Clear, concise written communication and documentation skills
- Comfort being measured against responsiveness, conversion, throughput, SLAs, and quality metrics
- Strong technology skills and ability to navigate multiple systems simultaneously, including CRM and EMR platforms
- Ability to receive and apply direct feedback and participate in coaching, call review, auditing, and calibration
- Ability to work effectively in an evolving environment where processes and playbooks may continue to develop
- Clinical licensure is not required
