Job Description

Plan Documents Manager overseeing benefit plan documents for Centivo’s self-funded healthcare plans. Coordinating drafting, compliance reviews, client implementations, and Operations team workflows.

Responsibilities:

  • Manage the Plan Documents team’s workload and task assignments supporting drafting and completion of Centivo’s SBCs, SPDs, and SOBs
  • Identify workflow process improvements and work with management to implement changes or create policies and procedures
  • Train new hires in PDM functionality, checklist usage, and document management
  • Attend meetings and collaborate with other departments as the Plan Documents team representative
  • Assist with client implementation and plan changes, defining benefits and structure for document preparation
  • Manage benefit plan documentation processes
  • Conduct complete section-by-section reviews of prospective conversion plan documents, including SPDs, SMMs, plan amendments, and SBCs
  • Verify plan eligibility status and requirements for inclusion in documents
  • Draft, finalize, and maintain benefit plan documents
  • Identify missing items needed for document preparation
  • Submit finalized plan documents and changes to stop loss carriers
  • Determine document changes needed for accuracy, seamless coverage, and updates
  • Support client communications, including introductory calls
  • Provide team members with information and reference documents on compliance and regulatory changes
  • Stay current on ERISA, PPACA, and related laws and regulations affecting plan benefits
  • Escalate client issues and concerns to leadership or Client Success
  • Perform other assigned projects and duties

Requirements:

  • 5+ years’ employee benefits paralegal or similar job experience required
  • 5+ years’ experience in Health and Welfare benefit consulting in ERISA & Non-ERISA plans
  • 5+ years’ experience in client management in self-funding document creation and management
  • Associate degree required; Bachelor’s degree preferred or equivalent job experience
  • Demonstrated abilities with process development and improvement as well as change management
  • Strong organizational and multi-tasking skills, attention to detail
  • Excellent written, verbal, and interpersonal communication skills
  • Ability to manage time effectively, set priorities effectively, and meet deadlines
  • Advanced knowledge of Microsoft Office products (Excel, PowerPoint, Word)
  • Demonstrated ability to meet performance goals, including accuracy and productivity
  • Ability to take initiative and be self-motivated while exercising proactivity in problem-solving and appropriate decision-making
  • Ability to work independently with minimal supervision
  • Phia Group’s PDM online portal document management experience or similar use of a portal for document creation and management
  • Prior lead or management experience in plan document drafting and management
  • Must be authorized to work in the United States for any employer
  • Must answer whether visa sponsorship is required
