Job Description
Transaction Coordinator supporting mortgage originators at Guild Mortgage, a home-financing company. Managing loan files, documents, databases, customer communication, and processing support.
Responsibilities:
- Assist originators with appointment setting and prospective/new applicant support
- Provide lead callbacks within 20 minutes and maintain lead-to-appointment conversion metrics
- Manage client databases and send online pre-qualification links
- Pull and prepare web applications, update credit reports and AUS findings, and run credit for assigned loans
- Set and confirm appointments and manage calendars
- Maintain communication with customers and referral sources throughout the loan process
- Coordinate marketing materials and compliance-approved realtor email marketing
- Monitor key loan transaction dates
- Send loan forms, disclosures, agreements, and supporting documents for completion and signature
- Collect and prepare supporting documentation and submit loan applications to processing
- Order 4506T, SSA, Credit Supplements, AccountCheck, and Work Number reports as needed
- Help resolve file issues and escalate processor conditions
- Provide administrative support during production and underwriting
- Track active loans and maintain originator databases
- Provide loan status updates and answer basic customer inquiries
- Maintain referral-source relationships and implement approved systems and software
- Provide clerical and administrative support as needed
- Escalate complex issues and perform standard responsibilities under direct supervision
Requirements:
- High school diploma or equivalent preferred
- Minimum of one year total experience in mortgage lending or a related field
- Active MLO licensing is not required
- Ability to manage multiple priorities
- Strong attention to detail and organizational skills
- Ability to work with urgency and responsiveness
- Customer service orientation
- Patience and professionalism with internal and external customers
- Proficiency with data entry, PDF software, Microsoft Word, and Excel required
- Proficiency with Microsoft Office Suite, Wiki, collaborative cloud-based programs, and third-party software applications required
- Strong verbal and written communication skills
- Basic math skills
- Ethical commitment to company values
- Ability to work in a fast-paced, metrics-driven environment
- No direct or indirect reports
- Primarily sedentary work with frequent keyboard and mouse use
- Ability to accurately interpret audio and visual information
- Must comply with role limitations under the SAFE Act and company policies
