Job Description
Vendor Manager overseeing the vendor ecosystem for a healthcare tech company. Responsible for vendor performance, compliance, and collaboration across various departments.
Responsibilities:
- Support the identification, selection, onboarding, and day-to-day management of clinical study vendors across supporting service lines (e.g., CTMS, eTMF, eCOA scale licensing, translations, patient recruitment, etc.).
- Collaborate with Sales, Marketing, and Solutions to equip the commercial team with the knowledge and collateral needed to effectively position complementary vendor services alongside Castor’s core offerings.
- Ensure all external clinical study vendors are onboarded in compliance with the Supplier Policies outlined in Castor’s Quality and Information Security Management System (QISMS).
- In close partnership with Legal, Security, and Compliance; coordinate and review vendor contracts, reseller agreements, and Statements of Work (SOWs) to ensure compliance with applicable regulations, favorable commercial terms and clear Service Level Agreements (SLAs).
- Collaborate with the Solutions and Sales teams by gathering accurate vendor quotes and rebids; while partnering with the Strategic Bid & Pricing Manager to maintain up-to-date vendor pricing.
- Assist in creating internal workflows and training materials so that Sales, Project Management and Support teams can smoothly execute and support projects involving external vendors.
- Act as the primary point of contact for operational clinical study vendors, ensuring they meet agreed upon timelines, quality standards, managing escalations and performance reviews.
Requirements:
- 3+ years of experience in vendor management, account management or business development within the SaaS, Life Sciences, or eClinical industry.
- Working knowledge of the clinical research industry including the general roles of sponsors, CROs, and eClinical technology providers.
- Familiarity with core eClinical systems like EDC, eCOA, eConsent, or related clinical trial technologies and services.
- Strong operational and commercial acumen, with a practical understanding of process improvement, profit margins, and contract negotiation.
- Detail oriented organization skills for tracking vendor quotes and assisting internal teams with cost estimates.
- Excellent communication skills with the ability to collaborate effectively with external vendors and internal teams.
- An empathetic and proactive approach to problem-solving.
- Strong self-motivation and a passion for personal development.
- The ability to develop and thrive in a hands-on, fast-paced and dynamic startup culture.
- Relevant understanding of clinical guidelines: ICH-GCP - Good Clinical Practice, FDA 21 CFR Part 11, and relevant GXP Regulations and Guidances.
