Job Description

Administrative Analyst for a law firm using proprietary technology platforms for legal and business data management. Responsible for client platforms, digital signatures, and operational reports.

Responsibilities:

  • Data Entry into Client Platforms: Perform data input, proposal updates, and management of information on client-specific portals.
  • Electronic Signature Management: Responsible for the full workflow of drafts and proposals on digital signature platforms (e.g., ZapSign, DocuSign), managing submissions, following up on pending signatures, and organizing signed documents.
  • Maintenance of the Light System: Keep the internal system (Light) fully updated with the commercial and operational information of the New Business area.
  • Registrations in Legalbox: Register new requests, scopes, and documents in the Legalbox system, ensuring data accuracy.
  • Preparation of Commission Reports: Track closing data and prepare internal spreadsheets and commission reports for the commercial area for coordination approval.

Requirements:

  • Education: Higher Education (in progress or completed) in Administration, Law, Commercial Management, or related fields.
  • Note: Law students or graduates must NOT have an active OAB registration.
  • Experience: Previous experience in commercial support routines, back office, controllership, or operational support; experience in law firms or service providers is a plus.
  • Technical Skills: Ability and agility to work with multiple systems, client portals, and ERPs.
  • Proficiency in Microsoft Office (especially Excel for commission reports and Word).
  • Familiarity with electronic signature tools.
  • Behavioral Profile: Extremely organized and detail-oriented (essential to avoid errors in registrations, commissions, and reports).
  • Process-focused and disciplined in following administrative and operational routines.
  • Good communication and proactivity to follow up on responses and monitor signature workflows.
