Job Description

Client Intake Specialist supporting client inquiries, consultations, and CRM records for a U.S. immigration law firm. Remote, full-time contractor role based in South Africa.

Responsibilities:

  • Serve as the primary point of contact for client calls, emails, and social media inquiries
  • Screen inquiries, identify client needs, schedule consultations, and guide prospective clients through intake
  • Build rapport, follow up on inquiries, and support conversion of leads into retained clients
  • Meet monthly sales and consultation targets
  • Manage calendars, inboxes, communications, and deadlines
  • Provide day-to-day operational support to the management team
  • Maintain accurate client records in CRM systems, including interactions, follow-ups, and intake progress
  • Apply knowledge of U.S. legal processes and terminology when communicating with clients and coordinating consultations
  • Identify and escalate inquiries requiring attorney review or legal guidance
  • Potentially complete a short video assessment simulating a role-specific scenario

Requirements:

  • Minimum of 2 years of experience in client relations, customer service, administrative support, or a related role
  • Bachelor's degree in communications, business administration, or related field preferred
  • Prior professional experience working with U.S. law, a U.S.-based law firm, or U.S. legal matters
  • Experience in U.S. immigration law or another area of U.S. law strongly preferred
  • Working knowledge of U.S. legal terminology, legal processes, and client intake procedures
  • Familiarity with CRM software, virtual communication tools, and scheduling applications
  • Proficiency in Microsoft Office Suite, email management systems, and virtual collaboration tools
  • Strong interpersonal skills, attention to detail, and ability to multitask
  • Reliable internet connection and dedicated home office setup
  • Strong written and verbal English communication skills
  • Professional and confident communication skills when interacting with clients regarding legal services
  • Ability to understand, organize, and accurately document client information while maintaining confidentiality
  • Familiarity with Facebook, Instagram, WhatsApp, and LinkedIn
  • Ability to work standard hours of 8:00 AM to 5:00 PM Pacific Time, or an alternative shift arrangement
