Job Description

Event Planner coordinating large-scale travel, training, partner, and recognition events for Pleasant Holidays. Managing vendors, budgets, logistics, sponsors, attendees, and onsite execution.

Responsibilities:

  • Coordinate overall planning and project execution for assigned events, including timelines, budgets, planning documents, stakeholder updates, event flow, agenda development and onsite execution
  • Support training and education-focused event programs, including room setups, schedules, materials, event platforms and onsite needs
  • Coordinate venue sourcing, hotel room blocks, meeting space, food and beverage, audiovisual, signage, décor, transportation, staffing and event materials
  • Manage partner and sponsor logistics, including registration, booth needs, brand assets, presentation timing, meal sponsorships and onsite expectations
  • Support attendee registration, communications, rooming lists, dietary needs, travel details, name badges, event app content and participant-facing materials
  • Maintain project plans, production schedules, contact lists, vendor records and budget tracking
  • Coordinate with Sales, Marketing, Training, Product and leadership teams
  • Travel for site inspections, pre-event planning, onsite setup, event management and post-event wrap-up as needed
  • Anticipate needs, identify risks, solve issues and ensure events reflect A|T Collective brand quality and professionalism
  • Exercise independent judgment on event budgets, vendor and venue selection, contract terms and onsite decisions with limited day-to-day supervision

Requirements:

  • Prior experience planning corporate meetings, incentive programs, conferences, training events, travel industry events or large-scale customer/partner programs
  • Strong project management skills with the ability to manage multiple timelines, vendors, stakeholders and moving parts simultaneously
  • Exceptional attention to detail and follow-through
  • Excellent written and verbal communication skills, including preparation of clear updates, recaps, agendas and event documents
  • Experience working with hotels, destination partners, vendors, convention services, audio visual teams and event production resources
  • Comfortable working under deadlines and adapting quickly when priorities, details or onsite needs change
  • Proficiency with Microsoft Office, especially Word, Excel, PowerPoint and Outlook
  • Experience with event platforms or registration tools preferred
  • Travel industry, hospitality, supplier relations or advisor-facing event experience preferred
  • Must be based in or near Southern California, with the ability to travel as needed
