Job Description

Operations Associate supporting the operational and administrative framework of an immigration law practice. Conducting case management tasks with emphasis on data security and confidentiality.

Responsibilities:

  • Support the operational and administrative framework of a client-focused immigration law practice.
  • Review, audit, and validate daily and weekly operational reports related to immigration case progress, upcoming deadlines, required follow-ups, and internal task completion.
  • Identify missing documents, incomplete information, or inconsistencies within case files and proactively notify the legal team.
  • Ensure accurate data entry and consistent recordkeeping within internal systems and immigration case management platforms.
  • Maintain detailed and organized operational trackers, case status sheets, and workflow logs to support structured case movement.
  • Monitor various email inboxes or portals (when assigned) to track government agency notices, client responses, and time-sensitive updates.
  • Prepare, review, and process invoices using internal systems such as Clio or similar case management/billing tools.
  • Assist in maintaining billing logs, tracking payment status, and organizing supporting documents or communications related to invoicing.
  • Provide administrative support such as document sorting, data entry, updating spreadsheets, and general operational tasks essential to daily firm operations.
  • Assist in preparing and structuring digital immigration forms, organizing, renaming, and categorizing digital files according to firm standards, ensuring correct formatting, labeling, and secure handling.
  • Ensure compliance with data privacy, confidentiality standards, and immigration-specific documentation protocols.

Requirements:

  • Proven experience in operations, administrative support, legal support, or similar roles.
  • Exceptional attention to detail, especially when handling sensitive or time-sensitive immigration documents.
  • Strong organizational skills with the ability to manage multiple case files and deadlines simultaneously.
  • Comfortable learning immigration documentation workflows, government filing processes, and firm-specific procedures.
  • Experience using case management platforms such as Clio (Preferred but not required).
  • Excellent written and verbal communication skills for documenting updates and coordinating with internal teams.
  • Demonstrated commitment to confidentiality, secure data handling, and professional ethics.
  • Proactive, adaptable, and able to work independently with minimal supervision.
  • Analytical mindset with a focus on accuracy, compliance, and continuous improvement.
