Job Description

Executive Virtual Assistant managing organizational tasks for a non-profit association. Requires strong administrative skills and experience with U.S.-based clients to operate independently.

Responsibilities:

  • Manage administrative tasks and day-to-day operational support for the Executive Director and team.
  • Handle project management and task coordination, ensuring work moves from start to finish without follow-up reminders.
  • Maintain organized records, documents, and files using Google Suite and/or Microsoft Office tools.
  • Manage scheduling, calendar coordination, and meeting preparation.
  • Support internal communications and correspondence.
  • Assist with presentation preparation, including tools such as PowerPoint or Canva.
  • Manage CRM or task management platforms (Asana, Trello, Slack, or similar tools).
  • Support any additional administrative and operational tasks as needed.

Requirements:

  • Strong spoken and written English with clear communication and minimal accent.
  • Previous experience supporting U.S.-based clients or organizations is required.
  • Highly organized with strong attention to detail and consistent follow-through.
  • Ability to take ownership of tasks and complete them without constant supervision.
  • Proficient in Google Suite and Microsoft Office (Word, PowerPoint, Excel).
  • Experience with project management and task coordination tools (Asana, Trello, Notion, or similar).
  • Tech-savvy and comfortable learning new tools and systems quickly.
  • Strong time management and ability to prioritize across multiple responsibilities.
  • Professional and proactive communication style.
  • Bilingual English and Spanish preferred.
  • Nice to Have: Experience working with non-profit or trade association organizations.
  • Familiarity with CRM systems.
  • Experience with Canva or design tools for presentation and content support.
  • Exposure to the Washington, D.C. professional environment or U.S. East Coast organizations.
