Job Description
Fleet and Assets Administrator coordinating vehicles, registrations, equipment, and corporate asset distribution for SOLV Energy, a U.S. solar and power infrastructure services provider.
Responsibilities:
- Organize, maintain, and update vehicle tags and registrations for company trucks, trailers, and UTVs
- Confirm fleet, trailer, and UTV active or terminated status and update records
- Maintain and deploy physical and digital registration files
- Coordinate registration copies, renewals, and terminations with field teams and fleet vendor Wheels
- Track renewal requirements and proactively initiate renewals
- Maintain accurate vehicle entries in the Fleet Management Vendor platform
- Assist field teams with vehicle purchase and termination processes
- Prepare and distribute field driver kits and updated fleet information
- Coordinate incoming and outgoing corporate assets, including GPS units, cameras, fuel cards, and HD cards
- Distribute assets to new hires and existing staff through FedEx and UPS
- Confirm GPS and camera replacement installations and asset assignments
- Maintain asset assignment logs and tracking records
- Coordinate DOT Driver Clearance when assigning fuel cards or vehicles
- Administer and track the fuel card program
- Monitor the asset inbox, triage requests, and route or fulfill them
- Log and track requests in FreshService and escalate unresolved items
- Maintain SharePoint document libraries and support version control
- Prepare weekly and monthly status reports
- Support audit readiness, data entry, and record updates
- Schedule meetings, coordinate logistics, and prepare meeting notes and action-item summaries
- Manage outgoing USPS, UPS, and FedEx shipments
- Support asset-related special projects and perform other assigned duties
Requirements:
- Associate's degree required; Bachelor's degree preferred
- Equivalent combination of education and relevant administrative experience will be considered
- 5+ years of administrative, coordinator, or office support experience preferred
- Experience with fleet, logistics, facilities, or asset management is a plus but not required
- Prior experience working in a remote or distributed team environment is beneficial
- Strong organizational skills with high attention to detail and accuracy
- Effective written and verbal communication skills and professional telephone manner
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and general office software
- Comfortable working with electronic document management systems such as SharePoint or ShareFile
- Ability to manage a high volume of routine tasks simultaneously and prioritize effectively
- Ability to work independently in a remote setting while maintaining reliable communication
- Reliability, dependability, and flexibility
- Professional demeanor in internal and external communications
- Must be legally authorized to work in the U.S. without requiring employer sponsorship now or in the future
