Job Description
Client Project Systems Coordinator administering Kantata project data for Lumanity’s life sciences consulting accounts. Aligning project delivery, finance operations, billing, and project completion processes.
Responsibilities:
- Serve as the primary point of contact for day-to-day Kantata system administration across assigned accounts
- Ensure the integrity and accuracy of assigned project-related data
- Maintain understanding of NetSuite as it relates to Kantata functionality
- Liaise with Client Project Leads to maintain project information, including project values, invoicing cadence, and people resources
- Liaise with Finance Operations for Sales Order setup and changes
- Attend internal status meetings and update systems accordingly
- Inform Client Project Leads when billing volume risks overage on deliverables or tasks
- Review monthly out-of-pocket costs on completed client invoices and update the system
- Monitor Kantata for potential client overservice situations and communicate relevant details for action planning
- Schedule and attend monthly EAC meetings and update Kantata in alignment with close deadlines
- Capture and action month-end changes across assigned projects
- Support business planning preparation by compiling required information
- Verify completion of tasks, billing milestones, and pass-through cost line items
- Mark completed projects as “Complete” and liaise with Financial Operations on post-completion audits and archiving
Requirements:
- Bachelor’s degree
- 2 years in project administration or coordination, business or financial operational support, or ERP/PSA system administration
- Experience with Kantata or similar systems such as FinancialForce or Workday PSA
- Preferred hands-on experience managing project budgets, hours, and expenses
- Preferred experience coordinating among multiple stakeholders
- Experience implementing best practices for data accuracy and reporting
- Med Comm industry experience
- Financial acumen
- Attention to detail
- Ability to multitask and collaborate with internal teams
- Strong oral and written communication skills
- Must be willing to work EST hours
