Job Description

Intake Specialist handling client calls for personal injury law firm specializing in serious injury cases. Conducting intake, scheduling, and maintaining confidentiality while ensuring high-quality service.

Responsibilities:

  • Answer incoming calls promptly and professionally following firm greeting standards
  • Screen and route calls to the appropriate attorney or staff
  • Conduct basic client intake by collecting caller information, case type, and urgency
  • Schedule consultations and appointments using the firm's calendar system
  • Manage voicemail messages and follow up as needed
  • Provide general information about the firm's services without offering legal advice
  • Maintain accurate call logs and client notes in the firm's CRM or case management system
  • Handle high call volumes while maintaining a calm and courteous demeanor
  • Maintain strict confidentiality and comply with all privacy requirements

Requirements:

  • English proficiency at C1 level
  • Minimum 1 year experience as an Intake Specialist or similar legal role
  • Proficient with computers, VoIP phone systems, and scheduling software
  • Experience with CRM or legal case management software (e.g., Clio, MyCase, Filevine)
  • Strong communication and interpersonal skills
  • Ability to handle sensitive and confidential information with discretion
  • Strong organizational and time-management skills
  • High emotional intelligence and empathy
