Job Description

Contracting Associate processing insurance contracts, appointments, commissions, and hierarchy changes for an FMO health insurance organization. Coordinating agents, carriers, Zoho CRM workflows, and incomplete contract resolution.

Responsibilities:

  • Process contracts through the Zoho CRM system, including posting notes, sending follow-up emails and processing outstanding items
  • Contact agents and uplines to collect incomplete data and reconnect contracts with missing items for return to the production cycle
  • Review and explain carrier communications to agents
  • Process state appointments, product additions, commission level changes and hierarchy changes
  • Assist Contracting Associate I and II positions with new contract processing when necessary
  • Communicate with internal management and external carrier management
  • Maintain working knowledge of all carriers processed within the team
  • Act on behalf of the Contracting Manager during absences
  • Identify global issues and communicate resolution ideas
  • Maintain a high-level overview of organizational functions and administrative influences
  • Collaborate with staff on relevant internal and external committees and support organizational values and mission
  • Assist with special projects and assignments requested by management
  • Provide basic help desk support and technical troubleshooting for Zoho and custom coding automations

Requirements:

  • High School Diploma or GED
  • Three (3) or more years general insurance industry or related field (financial services, marketing, business-to-business customer service or call center) experience
  • Working knowledge of insurance services industries
  • Knowledge of general industry procedures, practices and terminology
  • Knowledge of insurance product lines
  • Working knowledge of administrative support functions for Contracting Associate I and Contracting Associate II positions
  • Skill in identifying and resolving complex problems
  • Skill in working effectively with company departments, internal marketing staff, home office personnel and agents
  • Skill in negotiating and problem solving to resolve internal and external conflicts independently and consistently
  • Skill in use of office equipment including computer, fax, printer, scanner and telephone system
  • Proficient computer skills; Microsoft Suite and MS Outlook preferred
  • Ability to make, execute and communicate decisions with supervisor
  • Ability to prioritize and manage urgent requests
  • Ability to communicate effectively orally and in writing
  • Ability to approach and communicate with a wide range of personalities professionally and courteously
  • Ability to maintain organization and attention to detail while handling multiple urgent requests
  • Ability to read, write and communicate English effectively
  • Ability to maintain company policies, including confidentiality and safety policies
  • Ability to work independently and exercise independent judgment
  • Strong verbal and written English proficiency required
  • Bilingual Spanish and English preferred
