Job Description

Grants Administration Officer managing VentureWell’s nonprofit grant and competition programs. Streamlining workflows, supporting awards, and improving grants administration systems.

Responsibilities:

  • Support administration of VentureWell’s grants, competitions, and direct subaward programs across multiple program areas
  • Create, develop, launch, and execute end-to-end grants and competition workflows
  • Support application intake, review, approvals, applicant notification, onboarding, contracting, award modifications, and reporting
  • Develop and update guidelines, application questionnaires, evaluation criteria, and grant materials
  • Build, launch, and manage Requests for Proposals, including application screening, reviewer coordination, panel notetaking, and reviewer guidance
  • Provide customer service and technical support to applicants, grantees, reviewers, faculty, institutions, board members, and staff
  • Manage grantee, prize winner, and subrecipient notifications, onboarding, awards, and ongoing communications
  • Collect onboarding documentation and facilitate timely award disbursement
  • Perform onboarding, compliance review, vendor setup, and contracting for grant recipients and subrecipients
  • Prepare reports and reconciliations concerning applications, onboarding, financial commitments and payments, and portfolio management
  • Develop, adapt, and document grants administration processes and workflows
  • Maintain process documentation and templates
  • Support internal requests for Grants Administration assistance and explain grants, finance, contracts, and procurement processes
  • Identify software improvements, troubleshoot issues, and serve as Product Expert on the software development and management team
  • Optimize grants software and tools, including shared email, Asana, Google Shared Drive, Salesforce, AirTable, and AdobeSign
  • Maintain the Grants Administration Shared Drive and consistent record management practices
  • Support training on grants administration policies, systems, and workflows
  • Report to the Procurement & Grants Manager

Requirements:

  • At least 3 years of related experience within grant administration in a non-profit organization, foundation, or government entity is required
  • Experience in proposal and grant administration design, development and delivery is required
  • Strong project management skills and ability to manage and replicate end-to-end workflows in order to meet deadlines and deliver excellent customer service
  • Accomplished written and oral communication skills with an ability to articulate and synthesize information in a compelling and organized manner
  • Ability to analyze and interpret data and source material in order to extract key information and deliver compelling recommendations
  • Highly adaptable; detail orientation in complex and ambiguous situations with enthusiasm and solutions orientation
  • High degree of digital fluency using cloud-based office tools such as GSuite, CRMs, team collaboration tools, and other web-based applications
  • Ability to succeed in an environment with competing and changing priorities and tight deadlines
  • Ability to build solid collaborative working relationships and be a team player with a customer service orientation
