Job Description
Part-time remote Property Assistant supporting tenant relations, property operations, and accounting administration for The Town Lake Company. Coordinating vendors, service requests, leases, inspections, and receivables.
Responsibilities:
- Act as the lead tenant liaison and assist with property management according to company policies, procedures, and standards
- Develop knowledge and skill in expense management, accounts receivable, physical facilities management, and tenant relations
- Prepare and maintain basic accounting data daily
- Assist with field activities associated with a property or group of properties
- Coordinate day-to-day activities and special assignments with vendors such as landscaping and janitorial vendors
- Track and respond to tenant service requests in reporting software; maintain and close out work orders
- Lead tenant coordination and retention activities
- Schedule building activities including move-ins/move-outs, fire drills, and tenant events
- Maintain Google calendars for food trucks, events, on-call engineers, conference rooms, and security
- Procure and maintain food truck vendor relationships and schedule weekly food trucks where applicable
- Maintain the building security access card system and access card assignments
- Assist with tenant move-ins/outs and related procedures
- Assist managers with regular property inspections
- Maintain virtual and on-site lease and project files
- Assist in maintaining the Building Manual and tenant welcome packet
- Assist with weekly asset management reports
- Track and maintain current Certificates of Insurance for tenants and vendors through MyCOI
- Assist with lease commencement letters, tenant rental coupons, operating expense escalation letters, and reconciliation letters
- Update parking and access control cards for properties and tenants
- Enter abstracts into Yardi, MRI, or other accounting software
- Generate aged receivables reports and track aged items
- Conduct initial rent collection emails
- Prepare and maintain submeter billing spreadsheets
- Prepare tenant utility bill-backs and assist the Property Manager with invoices for tenants and Accounting
- Generate tenant late letters and default notices as directed by the Property Manager
- Maintain building contact lists and tenant memo lists
Requirements:
- Proficient in Excel/Microsoft Office Suite
- Must have ability to work/learn in various software platforms
- Excellent verbal, written and organizational skills
- Excellent customer service skills
- Ability to see assigned projects to completion with little supervision and/or to maintain assigned projects independently
- Knowledge of security systems, card access, and online maintenance request systems preferred
- 2+ years of related work experience preferred
- High School Diploma required
- Undergraduate Degree preferred
- MRI, Yardi or Kardin experience preferred
- Required to sit for long periods of time
- Required to lift files up to 15 pounds, open filing cabinets, and bend or stand as necessary
- Required to walk properties for long distances in a variety of conditions
