Job Description
Senior Site Payment Specialist configuring clinical trial budgets and payments for Parexel, a global clinical research organization. Supporting research sites, contracts, payment systems, and study operations from Poland.
Responsibilities:
- Partner with the sponsor Investigator Payments Lead to define and document payment requirements for each study
- Review and interpret Clinical Study Agreements, budgets, amendments, and Budget Modification Letters
- Extract payment information for budget configuration templates
- Configure payment schedules, distinguishing data-driven and manual payment line items
- Set up research sites in the investigator payment system
- Escalate ambiguous payment information and collaborate with contract negotiators for resolution
- Follow up with research sites regarding payee form completion, corrections, or modifications
- Collaborate with internal business partners on payment and budget setup activities
- Create and upload completed budget configuration templates to the IPS supplier within an average of three business days after receiving required documentation
- Track missing or incomplete payment setup documents
- Track issues and document resolutions
- Support adherence to sponsor processes and procedures
- Attend payment-related study team meetings as needed
Requirements:
- Bachelor's degree or extended relevant industry experience
- 2+ years of experience working in a related discipline
- Basic clinical trial knowledge
- Strong Excel skills
- Understanding of budget and payment setup configurations
- Written and oral language fluency involving legal, medical, and scientific terminology
- Fluency in English and at least one additional European language
- Strong communication, organization, and problem-solving skills
- Experience working in clinical research, healthcare, or another regulated environment
- Ability to collaborate across teams and communicate clearly with internal stakeholders and external study sites
- Comfort working with Excel, payment systems, budget configuration processes, and clinical documentation
- Business or technical degree preferred
- Previous project management experience preferred
- Fluency in applicable local language(s) preferred
- Experience with investigator payment processes, clinical budgets, or payment configuration activities preferred
- Familiarity with payment management systems such as eClinicalGPS or similar platforms preferred
