Job Description

Clinical Communications Specialist ensuring visibility for Olympus's Global Clinical Research. Involved in high-quality communications, operational support, and stakeholder coordination.

Responsibilities:

  • Support the Development of Clinical Research Communications: Independently draft, edit, and produce high-quality communications including clinical program updates, executive briefings, leadership decks, newsletters, and external partner correspondence, ensuring clarity, accuracy, and alignment with organizational tone and priorities
  • Efficiently create visually polished presentations and other materials, aligned with corporate branding standards for Clinical Research leadership and external stakeholders
  • Provide High-Level Meeting and Operational Support: Manage complex scheduling across time zones, coordinate high-visibility internal and external meetings, prepare agendas, document meeting minutes, and proactively drive follow-up on action items across cross-functional teams
  • Manage Clinical Research Sharepoint & Clinicaltrials.gov: Oversee maintenance and organization of Clinical Research content within SharePoint and other collaboration tools to ensure easy access and version control
  • Support the preparation, tracking, and timely submission of required documents and updates on ClinicalTrials.gov and other regulatory databases
  • Maintain Strategic Trackers and Dashboards: Manage sophisticated tracking tools and timelines to monitor program milestones, resourcing, communications activities, and key deliverables; generate reports to inform leadership decision-making
  • Interface with Internal and External Stakeholders: Serve as a point of contact for clinical research leaders, investigators, and vendors to support seamless communication, meeting coordination, and exchange of critical information
  • Support Operational Excellence: Anticipate and respond to the evolving needs of the clinical leadership team by providing proactive administrative, logistical, and project support to ensure smooth day-to-day

Requirements:

  • BA/BS degree in life sciences, communications, public health or related field
  • Minimum of 3 years of experience in a clinical research, medical affairs, or health communications role (industry or academic)
  • Excellent written and verbal communication skills, with experience translating complex content into clear messaging and presentation materials
  • Strong organizational and time management skills, with high attention to detail and ability to manage multiple priorities
  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel) and Microsoft Teams; experience with SharePoint, Smartsheet, or other dashboard tools is a plus
  • Ability to work both independently and collaboratively in a cross-functional environment
  • Familiarity with clinical research processes, terminology, and study lifecycle is preferred
  • Experience working in a global cross-functional team (functional/matrix) environment and knowledge and/or experience working with groups with varied cultural backgrounds and learning styles is required
  • Domestic and international travel up to 5%, including weekend and evening travel as needed to support business objectives, such as investigator meetings
  • Scheduling flexibility to commit to a global weekly schedule (Tuesday – Wednesday – Thursday) navigating multiple time zones with extended hours into the early morning as well as late evenings
