Job Description
Corporate Services Administrator managing administration, rostering, CRM, and participant support. Supporting international brands through Satellite Office’s Philippines-based offshore teams.
Responsibilities:
- Provide high-quality administration and customer support for programs
- Support rostering, scheduling, participant communication, incident triaging, and phone/email enquiries
- Issue quotes and book travel
- Manage CRM systems
- Provide seamless process support and clear handovers to the other administrator
- Manage central inboxes and phone lines
- Provide administrative support across departments
- Support travel bookings, stationery, and merchandise
- Assist the CEO, COO, and CFO with diary and meeting management
- Maintain data integrity across CRM, CMS, and project systems
- Assist with system migrations
- Support payroll and rostering data entry
- Complete correct data entry and linking
- Follow paperwork and process requirements
- Support candidates, participants, and weekend staff as first point of contact
- Support onboarding, applications, and communications
- Coordinate drop-in sessions, workshops, and online events
- Ensure accessible and inclusive communication
- Process NDIS quotes and progress reporting
- Manage rostering systems, attendance rolls, absentee forms, support worker rosters, and WhatsApp groups
- Identify and escalate engagement issues
- Complete payroll and timesheet reconciliation
- Support onboarding of new staff and liaise with managers on system access
- Create accessible templates and distribute timely updates
- Participate in staff meetings and maintain confidentiality
- Support other team members as required
Requirements:
- Minimum 2 years’ experience in administration, communications, or member support
- Excellent organisation and attention to detail
- Strong written and verbal communication
- Problem-solving and risk management skills
- Experience with CRM, CMS, and project management tools
- Proactive, flexible, and comfortable working remotely
- Strong interpersonal skills and inclusive practice
- Certificate/Diploma in Business Administration desirable
- Proven administrative expertise
- Stakeholder engagement and problem-solving skills
- Ability to work across time zones
- Proficiency with Google Workspace, Microsoft Office, CRM, and Asana
- Strong team collaboration
- Knowledge of disability, education, or arts sectors advantageous
- Governance or payroll experience desirable
