Job Description

Executive Assistant supporting the CEO and President of an AI and data science philanthropy foundation. Managing executive communications, schedules, briefings, travel, meetings, and confidential information.

Responsibilities:

  • Support the CEO and President across all aspects of their portfolios
  • Serve as a trusted liaison across the organization and with external partners and stakeholders
  • Track multiple fast-paced workstreams, project details, and stakeholder information
  • Manage high-volume internal and external information flows
  • Edit and prepare memoranda, talking points, letters, and other communications
  • Organize meetings, gather documents, coordinate in-person and virtual logistics, and take minutes as requested
  • Assist with reviewing presentations and reports
  • Organize and consolidate briefing materials for meetings and public appearances
  • Maintain calendars and schedule meetings, appointments, speaking engagements, and travel
  • Coordinate domestic and international travel, including flights, hotels, transportation, logistics, and expense reporting
  • Assist with planning and organizing internal and external meetings involving the principals
  • Handle sensitive, complex, and confidential information professionally and discreetly

Requirements:

  • Bachelor’s degree and 3+ years of professional experience supporting senior executives is required
  • Experience in fast-paced, high-growth settings
  • Ability to adapt quickly to changing priorities and demands
  • Ability to manage a complex to-do list, multitask, and meet deadlines
  • Ability to learn and adapt quickly to new technologies and systems
  • Familiarity with G-Suite, Slack, Canva, and Asana preferred
  • Familiarity with AI tools strongly preferred
  • Strong judgment and decision-making skills
  • Ability to exercise individual agency and determine when communication or autonomous action is appropriate
  • Excellent written and verbal communication skills
  • Exceptional organizational skills and attention to detail
  • Ability to manage multiple projects simultaneously in a fast-paced, changing environment
  • High tolerance for ambiguity
  • Ability to build and maintain relationships with diverse stakeholders
  • Tact and diplomacy when handling critical or confidential matters
  • Desire to work remotely with mature, socially minded professionals
  • Must be authorized to work for any employer in the U.S.; no visa sponsorship available
