Job Description

Administrative Secretary providing support to legal affairs service in Switzerland. Responsible for documentation, organizational tasks, and legal correspondence with flexible work arrangements.

Responsibilities:

  • Provide secretarial support for the Legal Affairs Service (SAJ)
  • Provide administrative support to members of the Legal Affairs Service and manage administrative follow-up of files, maintaining physical and electronic records from receipt to archiving, including indexing
  • Handle certain aspects of legal files autonomously, under the supervision of legal advisors
  • Manage the service’s organizational follow-up (telephone reception, meeting organization, calendar coordination, internal administrative procedures, etc.)
  • Draft letters and documents with legal content (emails, letters, minutes, memoranda, exhibits lists, etc.)
  • Create and update documents such as drafts, spreadsheets, planning documents and PowerPoint presentations according to the service’s needs.

Requirements:

  • Federal VET diploma (CFC) as a commercial employee or equivalent training; certification in legal secretarial work is an asset
  • At least 5 years of executive secretarial experience with a court, public prosecution authority, legal department or law firm
  • Knowledge of the Geneva healthcare network and/or the Geneva judicial system is an asset
  • Energy, interpersonal skills and flexibility are essential for this position
  • Ability to work independently, attention to detail, excellent writing and organizational skills
  • Proven computer skills and excellent command of common office tools, notably Word, Excel, Outlook and PowerPoint
  • Team spirit, discretion and the ability to work autonomously
  • Pragmatic, highly adaptable and able to take initiative to manage a substantial workload within sometimes tight deadlines
