Job Description
Legal Operations Virtual Assistant taking ownership of client-focused processes in a growing legal practice. Managing records, communications, and marketing coordination in a remote setting.
Responsibilities:
- Maintain accurate and up to date records in CRM systems
- Answer and manage all inbound calls using structured intake protocols
- Assist in maintaining structured processes and improving operational efficiency
- Proactively identify pending tasks and ensure completion or escalation as needed
- Ensure all daily, weekly, and monthly workflows are completed on time
- Support follow up communications and client satisfaction efforts
- Support execution of digital marketing tasks and content posting
- Track referrals and manage client onboarding processes
- Coordinate with external vendors for marketing and operational tasks
- Monitor and respond to messages, comments, and reviews across platforms
- Organize case files, documentation, and case tracking systems
- Process retainers, invoices, and monitor payment status
- Manage scheduling, calendar coordination, and court date tracking
- Respond to inbound leads promptly and qualify potential clients
Requirements:
- 2 or more years of experience in legal support, intake, administrative support, or related roles
- Strong English proficiency with clear and professional communication
- Excellent organizational skills and attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Strong follow through and accountability
- Proactive mindset with the ability to take initiative and complete tasks independently
- Experience working with CRM systems and managing client data
- Ability to handle client interactions with empathy and professionalism
- Strong problem solving and analytical thinking skills
- Comfortable managing billing, invoicing, and payment tracking
