Job Description

Legal Receptionist serving as first point of contact for clients at Ovation Law Firm. Managing incoming communications, scheduling, and front-office support in a fully remote setup.

Responsibilities:

  • Answer and manage incoming calls using the firm’s virtual phone system in a professional and courteous manner
  • Serve as the first point of contact for clients and prospective clients, ensuring a positive and empathetic experience
  • Screen, route, and prioritize calls, messages, and inquiries to the appropriate departments or team members
  • Schedule, confirm, and manage client consultations and appointments
  • Collect and accurately document basic client information during intake calls (no legal advice)
  • Maintain accurate call logs, messages, and client records in the firm’s CRM and case management systems
  • Monitor voicemail and email inboxes and respond or escalate as appropriate
  • Support administrative and operational tasks related to front-office and intake functions
  • Uphold client confidentiality and comply with legal and ethical standards
  • Ensure professionalism, consistency, and quality in all client communications

Requirements:

  • Strong English communication skills (C1 level), both verbal and written
  • At least 1–2 years of experience in a receptionist, administrative assistant, call center, or customer service role
  • At least 1–2 years of experience operating cloud-based business phone systems such as RingCentral, Dialpad, or comparable platforms
  • Excellent phone etiquette and interpersonal communication skills
  • Strong attention to detail and organizational skills
  • Ability to manage multiple priorities in a fast-paced, remote environment
  • Proficiency with computers and common office tools (email, calendars, basic data entry)
  • Reliable internet connection and a quiet, professional workspace
  • Availability to work during U.S. business hours (PST)
  • Willingness to use time-tracking software
