Job Description
Operations Coordinator providing administrative support to the Head of Small Clubs at Live Nation Entertainment. Assisting in scheduling, expense management, and project coordination.
Responsibilities:
- Provide daily support to the Head of Small Clubs, duties include, but are not limited to: Scheduling and calendar management
- Assist with candidate interview process for open operations positions (travel booking + schedule creation)
- Monthly expense management for Head of Small Clubs
- Invoice processing for Head of Small Clubs
- Organize & generate reports on social media reviews through Reputology
- Create PowerPoint pitch/bid decks for potential partners and external third parties
- Assist in new menu rollouts, mandate lists, and follow up on venue progress for F&B Team
- Maintain and update organizational charts and contact information for department
- Weekly reporting of upcoming shows and events for all venues
- Agenda preparation for meetings and calls
- Collect, consolidate and organize information from the venues to assist in future sponsorship, marketing and/or operational opportunities
- Additional project assistance as needed for various departments
Requirements:
- 1-2 years of general administrative experience in a high-volume environment
- Experience supporting executives is preferred
- Multi-unit operations, hospitality, experience is desired
- Passion for hospitality and operations is a must
- Excellent verbal/written communication and phone etiquette
- Strong computer skills, including experience with the Microsoft Office suite (Word, Excel, PowerPoint)
- Previous experience with expense applications such as Concur, are a plus
- Ability to engage in interactions with coworkers, executives and high-level industry professionals in a positive manner
- Must have the ability to foresee and solve problems, follow up, communicate and diffuse potentially volatile situations with tact
- Skilled multi-tasker who is organized, detail oriented, self-driven, and is able to manage last minute projects and meet tight deadlines
- Proficient typing skills required (ability to type 60 wpm)
- College degree required
