Job Description

Senior Bookkeeper managing books, intercompany activity, and reporting for a diversified family holding company. Maintaining accurate financial records across approximately 10 related entities.

Responsibilities:

  • Manage invoices, accounts payable, and accounts receivable across approximately 10 related entities
  • Record transactions in QuickBooks Online and an internal portfolio dashboard, including intercompany transactions
  • Verify payables and prepare payments for managing partner approval
  • Process recurring bills including property taxes, loan payments, and vendor invoices
  • Reconcile bank, credit card, and loan accounts monthly
  • Complete month-end close for every entity accurately and on time
  • Bring the 2025 books current across all entities
  • Maintain loan balance, loan payment, and intercompany balance schedules
  • Record portfolio investment activity
  • Track owners' capital contributions and withdrawals
  • Maintain records of amounts owed between entities
  • Prepare weekly, monthly, and quarterly financial reports for individual entities and on a combined basis
  • Prepare quarterly financial statements required by lenders
  • Reconcile the internal dashboard to the books quarterly and resolve discrepancies
  • Prepare year-end packages and 1099s for outside accountants
  • Maintain organized records to support tax preparation
  • Complete the application, video introduction, role-specific assessment if applicable, recruitment interview, executive interview, client interview, and background/reference check

Requirements:

  • 3 to 5 or more years of bookkeeping experience managing books for multiple related companies simultaneously
  • Real estate bookkeeping experience strongly preferred, including rent, loans, and property expenses
  • Advanced QuickBooks Online proficiency
  • Strong Excel or Google Sheets skills for financial schedules, reports, and reconciliations
  • Comfortable learning new software tools including internal portfolio dashboards
  • Detail-oriented and able to manage deadlines and competing priorities across many entities
  • Discreet and trustworthy with confidential financial and family information
  • Experience with a family office, holding company, or investment portfolio is nice to have
  • Familiarity with intercompany accounting and consolidated reporting is nice to have
  • Background supporting outside accountants through tax preparation and audit processes is nice to have
  • Experience with loan tracking, capital account management, or real estate entity accounting is nice to have
  • Updated resume required
