Job Description

CMMS Maximo Administrator managing, configuring, and optimizing maintenance management systems for JLL. Ensuring data integrity and user adoption to maximize operational efficiency.

Responsibilities:

  • Manage user accounts, security profiles, and site access permissions.
  • Upload new site data, assets, schedules, and procedures as facilities come online.
  • Perform bulk asset uploads for new construction or inventory projects and decommission buildings as needed.
  • Develop and maintain accurate work order data across the portfolio.
  • Add equipment to PM plans with scheduled due dates per SLA requirements.
  • Support quality assurance reviews of work order accuracy (equipment, hours, types, closing codes, comments) and reconcile IoT asset management system with CMMS for data consistency.
  • Support work scheduling and assignment by managing work order creation, planning, updates, and closure in the system.
  • Collaborate with facilities teams to develop and maintain standardized critical equipment lists.
  • Add, update, and review site inspections to maintain compliance and operational standards.
  • Measure and publish KPI metrics to management.
  • Interpret data, troubleshoot processes, and provide recommendations based on findings to drive continuous improvement and operational excellence.
  • Provide end-user training and serve as liaison for problem-solving and escalation.
  • Manage daily administrative tasks for the CMMS team to ensure smooth operations and user satisfaction.

Requirements:

  • Bachelor's degree in Information Technology, Engineering, Facilities Management, or a related field, or equivalent combination of education and experience
  • Minimum 5 years of hands-on experience administering CMMS platforms such as IBM Maximo, SAP PM, Infor EAM, eMaint, or similar enterprise maintenance management systems
  • Prior experience with a CMMS system or asset management system preferred.
  • Demonstrated ability to work independently with little supervision and effectively deal with stressful situations.
  • Proficiency in SQL for data manipulation and reporting.
  • Proficiency in a range of information technology tools and platforms.
  • Knowledge of local occupational health and safety requirements, critical facilities, and vendor management for specialized services is advantageous.
  • Understanding basic technical aspects of property including mechanical, fire protection systems, and mechanical and electrical systems is advantageous.
  • Excellent communication, organization, and problem-solving skills.
  • Self-motivated with a confident, energetic, and flexible approach to work.
  • Strong analytical capabilities with ability to interpret complex data and provide actionable recommendations.
