Job Description

Executive Assistant providing high-level administrative support to CEO at Opal Group. Managing communications, scheduling, and operational tasks for effective leadership alignment.

Responsibilities:

  • Manage the CEO’s calendar, schedule meetings, coordinate appointments, and maintain daily scheduling priorities
  • Coordinate travel arrangements, accommodations, transportation, and related logistics
  • Draft, edit, and manage emails, letters, reports, presentations, and other business communications on behalf of the CEO
  • Assist with coordinating client calls, meetings, and follow-up communications
  • Communicate professionally with clients, vendors, and internal team members on behalf of the CEO as needed
  • Track tasks, deadlines, and ongoing projects to help ensure timely follow-through and organization across priorities
  • Prepare and organize reports, spreadsheets, summaries, and other administrative documents
  • Maintain organized records, files, and confidential documentation
  • Assist with expense tracking, financial documentation, and coordination with the accounting team as needed
  • Coordinate administrative logistics, appointments, and scheduling needs related to executive operations
  • Support internal communication and information flow across departments as directed
  • Handle sensitive and confidential information with professionalism, discretion, and sound judgment
  • Provide general administrative and operational support to the CEO and executive office as needed
  • Flexibility to respond to occasional urgent matters outside standard business hours is required

Requirements:

  • Previous experience as an Executive Assistant or in a similar high-level administrative support role is preferred
  • Advanced English skills in verbal and written communication are required
  • Strong organizational and time-management skills with the ability to manage multiple priorities simultaneously
  • Professional, polished, and diplomatic communication skills
  • High attention to detail with strong follow-through and accountability
  • Ability to maintain confidentiality and exercise discretion in handling sensitive information
  • Proficiency with Microsoft Office, including Excel, Word, Outlook, and PowerPoint
  • Comfortable learning and working within new software systems and digital tools
  • Ability to work independently and remain highly responsive in a remote work environment
  • Self-motivated and able to adapt quickly in a fast-paced setting
